Email Setup on PC
Outlook Guide
Use this protected client guide to add your CIX Connect business mailbox to
Microsoft Outlook on Windows. It covers the quick Add Account method and the manual
POP/IMAP setup method for cases where Outlook asks for server details.

Before You Start
Prepare the mailbox details first
Important: You need your full email address, email password, incoming mail server and outgoing mail server before starting. Use the exact details supplied by CIX Connect. If you are unsure, WhatsApp support before changing random settings.
Detail 01
Email Address
Example: name@yourdomain.co.za. Use the full email address in both the Email Address and Username fields.
Detail 02
Password
Use the mailbox password supplied by CIX Connect. Passwords are case-sensitive.
Detail 03
Mail Server
Common format: mail.yourdomain.co.za. Replace yourdomain.co.za with your real domain.

Method 1: Quick Outlook Setup
Try this first
Automatic Setup
Add your email account in Outlook
This is the fastest method when Outlook can detect the settings automatically.
Open OutlookOpen Microsoft Outlook on your computer.
Click FileGo to the top-left corner and click File.
Click Add AccountUnder Account Information, select Add Account.
Enter your email addressType your full business email address and click Connect.
Enter your passwordType your mailbox password and click Connect or Sign In.
Finish setupWhen Outlook says the account was successfully added, click Done or Finish.
Method 2: Manual Outlook Setup
Use this when Outlook asks for server settings
Manual POP / IMAP Setup
Configure the mailbox manually
Use this method if the automatic setup fails or Outlook asks you to choose POP or IMAP.
Open Outlook and click FileClick File, then select Add Account.
Select manual setupChoose Manual setup or additional server types, then click Next.
Choose POP or IMAPSelect POP or IMAP, then click Next. IMAP is recommended for most clients.
Enter user informationEnter your display name and full email address.
Enter server informationSet account type to IMAP. Enter incoming and outgoing server as mail.yourdomain.co.za, using your real domain.
Enter login informationUsername must be the full email address. Enter the mailbox password.
Open More SettingsClick More Settings, then go to the Outgoing Server tab.
Enable SMTP authenticationTick “My outgoing server requires authentication” and select “Use same settings as my incoming mail server”.
Set Advanced portsGo to Advanced. Use IMAP 993 with SSL/TLS and SMTP 465 with SSL/TLS.
Test account settingsClick OK, then Next. Outlook will test incoming and outgoing mail.
Close and FinishWhen both tests complete successfully, click Close, then Finish.
POP3 Alternative
Only where required
Use POP3 carefully: POP3 can remove emails from the server depending on settings. If the same mailbox is used on phone and PC, IMAP is safer. Only use POP3 if CIX Connect specifically tells you to use it.
POP3 Incoming
Incoming POP3 Port
Server: mail.yourdomain.co.za. Port: 995. Security: SSL/TLS. Username: full email address.
SMTP Outgoing
Outgoing SMTP Port
Server: mail.yourdomain.co.za. Port: 465. Security: SSL/TLS. SMTP authentication must be enabled.
Troubleshooting Outlook
Quick fixes before contacting support
Issue
Password Not Accepted
Retype the password slowly. Check capital letters, symbols and spaces. Make sure the username is the full email address.
Issue
Cannot Send Mail
Check SMTP server, outgoing port and authentication. The outgoing server must require authentication.
Issue
Cannot Receive Mail
Check incoming server, account type and port. For IMAP, use port 993 with SSL/TLS.
Issue
Certificate Warning
Check that the server name is correct. Do not accept unknown certificate warnings without confirming with CIX support.
Issue
Outlook Keeps Loading
Restart Outlook and test internet connectivity. If still stuck, remove the failed account and add it again using manual setup.
